But many AI cover letters give themselves away at first glance: too smooth, too generic, too interchangeable. Recruiters read dozens of such texts every day – and quickly recognize when a machine has done (almost) all the work. In this article, you will learn how to use AI effectively while still remaining authentic.

What do recruiters notice immediately?

Artificial intelligence (AI) is not just a useful tool for sending out applications faster and more efficiently. Yes, saving time and automating processes are advantages — but there’s much more to it. Anyone looking to stand out in today’s application process should understand why the strategic use of AI behind the scenes can make all the difference.

  • Generic phrases such as “I read your job advertisement with great interest.”
  • Exaggerated self-description (“highly motivated,” “passionately committed”) without concrete evidence
  • Clichés instead of facts – there is a lack of specific examples or references to the company
  • The same rhythm in all sentences, often in “perfect” written English without a personal touch

💡 Recruiters take note: a text that could apply to any job has little substance.

In fields such as marketing, content marketing, PR, and other communications roles, where storytelling and linguistic nuances are crucial, AI-generated phrases come across as particularly bland. Employers expect texts that are not only error-free, but also creative and full of character, revealing your individual style.

How to improve generic AI texts

1. Don’t be afraid of long prompts

The more precise your input, the more relevant the output. Instead of just typing “Write a cover letter for position X,” add:

  • Copy and paste the job description (in full)
  • Your own career history, including achievements and responsibilities (PDF version of your CV) Special features of the company (projects, values, products)
  • Tone (e.g., factual, lively, sales-oriented)

2. Provide personal information and job details 

AI does not know what makes you unique, therefore you have to feed the AI, as this will help you avoid interchangeable texts:

  • Consider seniority (“Communicate this as a leader with a flat hierarchy”)

You are an experienced application expert in the field (industry, e.g., pharmaceuticals/medtech, and function, e.g., marketing, sales) and will create a professional, personalized, and relevant cover letter for me for the position (exact job title) at (company).

Goal: Max. 1 A4 page, clear structure (introduction, added value/evidence, motivation, conclusion). No generic style, no clichés. Language should be professional, active, and appealing (suitable for the company and its culture).

Please provide two alternative opening sentences at the end so that I can choose the most appropriate one.

Here is the information:

  • Tone of voice appropriate for the industry
  • Vary sentence length, use natural speech rhythm
  • Concluding sentence with a specific suggestion for the next step (e.g., meeting in person, learning more about the position, presenting an idea))

Checklist for your AI cover letter

  • Direct reference to the company in the introduction
    Example: “Your current project to introduce a new diagnostic system immediately appealed to me—a task that I have already successfully completed in my previous position.”
  • 2–3 hard facts (numbers/results/impact
    Example: “By optimizing the study process, I was able to reduce the time to go-live by 20%.”
  • Relevant career references instead of a biography
    Example: “The experience I gained during my time at MedTech AG—in particular, training 50 users—is directly transferable to your planned system implementation.”
  • Clear professional added value
    Example: “With my background in regulatory affairs, I ensure that new products are launched not only quickly but also in compliance with regulations.”
  • If you have leadership responsibilities, also describe your personal leadership style
    Example: “I lead in a strength-oriented manner, i.e., I identify the strengths of employees and promote them through targeted feedback, project opportunities, and goal setting.”
  • Tone of voice appropriate to the industry
    Show that you have researched the company and choose the right style of language. (Start-up: dynamic, hands-on, innovation-driven; large corporation: structured, international; family-run SME: approachable, practical, values-oriented)
  • Your own style and values should be evident, no generic sound
    Example: Instead of “I am highly motivated and committed,” try > “I am truly impressed by the combination of clinical precision and patient-centered work – this is exactly where I want to contribute my expertise.”

Conclusion: Personality beats standard text

AI can give you valuable ideas for your motivation letter, but you will only convince the reader with your own writing style. Use it as a tool, not as a substitute for your personality. A cover letter with clear motivation, verifiable achievements, and a genuine connection to the company will also give you the best chances in 2025.
